Channel Factory is headquartered in the United States and has global offices across 20+ cities/countries. This position will be based in the United States and will report to our President, Americas. 

We’re looking for a sharp, organized, and proactive NY Office Manager/ Executive Assistant to join our NYC team. This is a highly visible hybrid role that combines the day-to-day operations of managing our NYC office space with executive-level support for three senior leaders. You'll be the go-to person for creating a seamless and productive work environment, while also anticipating and supporting the needs of key stakeholders.

This role is ideal for someone who thrives on multitasking, takes initiative, and has strong communication and problem-solving skills.

Key Responsibilities

  • Serve as the main point of contact for all NYC office operations.
  • Maintain a well-stocked, clean, and welcoming office environment.
  • Oversee vendor relationships, office supply management, and facility needs.
  • Coordinate in-office events, team offsites, and visitor logistics.
  • Liaise with building management and IT as needed for office-related issues.
  • Assist the HR team by coordinating building access for new hires and supporting in-office team activities.
  • Provide high-level administrative support to 3 senior executives: President, CPO, and SVP of Sales. 
  • Provide high-level support to the executives, including activities such as, but not limited to, scheduling and calendar management, meeting coordination, travel planning, project management, expense management, etc.
  • Act as a communication bridge between executives and internal/external stakeholders.
  • Manage inboxes, prioritize emails, and flag key action items.
  • Prepare agendas, briefing documents, and presentation materials for executive meetings.
  • Coordinate special projects, offsites, and cross-functional initiatives on behalf of executives.
  • Exercise discretion, judgment, and confidentiality in all aspects of the role.
  • All other duties as assigned. 

Requirements

  • 4+ years of experience in an Executive Assistant, Office Manager hybrid role.
  • Prior experience supporting multiple executives simultaneously.
  • Excellent organizational and time management skills with the ability to prioritize effectively.
  • Strong written and verbal communication skills.
  • Tech-savvy: Comfortable with Google Workspace, Slack, Zoom, and expense/travel platforms.
  • A collaborative team player who’s proactive, adaptable, and solution-oriented.
  • Experience working in a fast-paced, startup-like environment is a plus.
  • Ability to work on-site at our NYC office location.
